Academic pilot documentation

Privacy Policy

This Privacy Policy explains what data may be collected during the pilot and how it is used to support academic learning and platform operations.

Last updated: May 21, 2026

What Data Is Collected

We may collect account data such as name, email address, and student ID if used by the course or institution.

We may collect course activity data, chat messages with the AI mentor, feedback statuses such as got_it, needs_review, and lost, uploaded or submitted lecturer onboarding form data, timestamps, logs, and limited usage analytics.

Why Data Is Used

Data is used to provide learning support, manage course access, maintain student progress and feedback features, improve the platform, detect technical issues and misuse, and support authorized admin dashboard and lecturer visibility where relevant.

The platform may show authorized lecturers or administrators course-level and student-level signals where needed for the academic pilot and learning support workflow.

AI Processing

Messages and relevant course context may be processed by server-side AI services to generate academic support responses.

Do not submit private, sensitive, confidential, or third-party content unless you are authorized and it is appropriate for the pilot.

Firebase and Cloud Infrastructure

The platform uses Firebase Authentication, Firestore, Firebase Storage, and cloud-hosted server routes to provide login, data storage, file storage, and platform functionality.

Server-only credentials and AI API keys are intended to remain on the server and are not intentionally exposed to browser code.

Data Retention

Pilot data may be retained for as long as needed to operate the pilot, support course staff, investigate issues, satisfy institutional needs, and improve the platform.

Some chat and activity records may be limited, rotated, deleted, or retained depending on pilot configuration and academic requirements.

User Rights Requests

Users may request access, correction, or deletion of their personal data by contacting the platform owner. Requests may be subject to identity verification, institutional requirements, security needs, and legal limitations.

Security Measures

We use reasonable technical and organizational measures to protect user data, including authentication, role-based access controls, server-side verification for sensitive routes, and database security rules.

No internet-connected platform can be guaranteed to be 100% secure.
